Create Calendars for Grouped Gantt Chart Activities

Use the Create Calendar for Group command (Calendar Settings dialog) to create activity and resource calendars out of grouped activities in a Gantt chart. This function allows you to control working and non-working times for sets of activities, which facilitates work phase planning (WPP) by decreasing the time and risk of failures during creation, change, and import of phase or area calendars. Activity group calendars can be created for activities, activity templates, and resources (like any other calendar).

Prerequisites

  • Gantt chart with multiple activities (the Activities can be (but do not have to be) linked, so that you can create a "living" calendar that can be rescheduled upon changes during the project´s execution.)

  • Activity group in a Gantt chart

Ways to access

  • In the Tilos Explorer, click + to expand Views > Gantt Chart (time), and select a Gantt chart view.

  • In a Gantt chart view, right-click the top level of an activity group and select Create Calendar for Group in the context menu.

Example

If you created a track possession calendar from a Gantt chart in which activities for each track are grouped by the Track number category (activities for every track are grouped in the row/column for that track), then:

  • The basic working time for the activities will come from the activity template´s calendar.

  • The start and end date of the whole working phase is defined by the start and end date of the activity.

To do work phase planning, you will likely want to create activity and resource calendars from activities grouped by phase in a Gantt chart.

Note: A calendar that you create in this way is not linked to the Gantt chart from which it has been created, so it is not automatically updated if you changed the activities or activity group. Calendar updates would have to be done manually.

Activity group calendars decrease the time and risk of failures during creation, change, and import of track possession calendars or area availability calendars.

This is just an easy way to create calendars, and since you create them from within Gantt charts, you can also import such track possession calendars from programs like Microsoft Project or Excel. Using activity group calendars for phasing easily allows you to show when portions of track or roadway are closed during their construction phases; use a working time calendar for closed sections of road/track, and a non-working time calendar for sections that are open to traffic.

The Gantt chart shows activities for each track grouped by the category “Track number”. The activities for every track are grouped in the row/column for that track. Nearly every railway and highway project needs these.

Notes about activity group calendars

  • Overlapping time slices are combined to one big time slice.

  • You can create or update a calendar upon the activities inside one activity group.

  • You can specify whether an activity defines working time or non-working time in the calendar, based on the Activities working time.

  • Activity group calendars are available in any calendar list, so they can be used for activities, activity templates and resources just like any other calendar. When doing work phase planning, Activity group calendars can be selected in the Object Properties pane > Details tab for an activity.

  • The basic working time for related activities comes from the activity´s calendar. The start and end date of the whole working phase is defined by the start and end date of the activity.

Activities as working time

  • The time before the first activity is non-working time, at least from the project start date on.

  • The time after the last Activity is non-working time, at least until the project end date.

Activities as non-working time

  • In the non-working time calendar, the Activities represent non-working time. Choose a calendar that is used for the working time (the spaces of time where there are no Activities).

  • The time where there is an activity is non-working time, based upon the activity calendar’s working time.

  • The time before the first activity is set to the chosen calendar for working time, at least from the project start date on.

  • The time after the last activity is set to the chosen calendar for working time, at least until the project end date.

Steps

  1. Right-click an activity in the group and select Group Settings. (See also Grouping Gantt Chart Activities.) ...

  2. Click the Add Condition icon to add a new condition + specify group conditions.

  3. Click OK.

  4. Right-click the group activity and select Create Group Calendar.

5. Select an option in the Calendar selector group:

  • Create a new calendar - Create a calendar based on the selected group of Activities. The calendar will have as many periods as work phases inside the group, with free time between the phases and calendar start/end dates that match those of the Gantt chart. Enter a name for the calendar as you want it to appear in the Tilos Explorer > Project Data > Calendars section.

  • Update existing calendar - Modify a calendar to take the start and end dates from the beginning and end of the calendar that defines the working time. Select an existing calendar to use.

  1. To specify whether an activity defines working time or non-working time in the calendar (based on the activity's working time), select an option in the Define time in the calendar group. If Activities in the group use different calendars, the periods are defined by the selected option below.

  • Working time based on the non-working area - Create the working time between Activities. If you go to the non-working calendar, the day definitions are taken from the settings. Then select an option in the Calendar for working time list.

  • Working time based on the activities working time - If you go to the working calendar created based on activities, the periods are taken from the activity calendars. Then select an existing calendar for working time to use.

  1. Click OK. Overlapping time slices are combined to one big time slice.

Edit the calendar

  1. In the Tilos Explorer, click + to expand Project Data > Calendars, and double-click the calendar you created from grouped activities.

  2. In the Calendar dialog, confirm the phases graphically.

  3. Modify any of the calendar definitions and click OK.
